Personal Trainer Income Tracker: Know Your Real Hourly Rate

Personal training income hides its own traps: package deals paid upfront but delivered over weeks, no-shows and cancellations, gym rent or a rev-share, and the gap between your headline session price and what you actually keep. A tracker built for it tells you your true earnings per hour worked — usually lower than the sticker price, and worth knowing.

Packages break simple tracking

If a client pays $600 for ten sessions, that's not $600 of income this week — it's $60 per session as you deliver them. Track packages by sessions remaining so your income lines up with the work, and you always know how many paid sessions you still owe.

What to track

Seeing no-shows add up in one cell is often the nudge to bring in a cancellation policy.

Personal Trainer Finance Tracker

The ready-made option

The Sheetsmith Freelancer Finance Tracker gives a PT the income/expense dashboard, category tracking and tax set-aside needed to see profit after gym costs — rename categories to sessions/packages/rent. (A trainer-specific version is in the shop if you'd like it pre-labelled.) Excel and Google Sheets, one-off download, no subscription.
